Turn a reorder CSV into supplier purchase-order drafts

Move from suggested stock quantities to separate supplier drafts. Add current quotes, preserve SKU identifiers and reconcile merchandise subtotals before printing.

Start with the quantities you have reviewed

The reorder planner estimates a quantity from stock, average demand, incoming units and lead time. After checking arrival dates and your purchasing constraints, use Purchase-order starter CSV to export every SKU whose suggested quantity is above zero. Table filters do not narrow that file.

The starter deliberately leaves Supplier and Unit price blank. Add your chosen supplier and its current price per ordering unit. Check case packs, minimum order quantities and availability yourself, and revise the quantity if necessary. A planning estimate is not a confirmed supplier quote.

A three-line purchase list

Download the completed practice file or choose the example in the purchase-order generator. Select USD. The sample values below are synthetic and can be checked without a store account.

North Supply totals 308.00, and Harbor Goods totals 192.50. Together they contain 127 units and 500.50 in merchandise. With reference prefix PO, the groups receive PO-001 and PO-002 in first-appearance order.

Keep the grouping deliberate

Supplier names and SKUs are exact identifiers. The tool does not infer that two differently spelled supplier names describe the same business. A duplicate SKU within one supplier stops the batch so you can consolidate or correct the lines. The same SKU under two different suppliers remains two separate purchasing decisions.

Keep SKU columns as text when editing a spreadsheet. The generator retains 00123, but cannot restore leading zeros that an earlier spreadsheet edit removed. All prices in a batch must use the currency you select; the currency selector does not apply exchange rates.

Reconcile merchandise before adding other charges

Each line multiplies the whole-unit quantity by the exact entered unit price. The draft subtotal sums those line amounts. Prices beyond the supported currency precision are rejected, so a two-decimal currency will not silently round a quote such as 3.205.

These subtotals exclude freight, tax, discounts and other charges. Confirm those, delivery details and payment terms with your supplier before using a draft. Once shipment costs are known, the landed cost calculator can help allocate your entered freight and shared costs across SKUs.

Export a draft you can inspect

The full CSV contains all supplier groups. For a printable document, select a supplier and download its standalone HTML draft. Open the downloaded file in a browser and use Print; choose Save as PDF when available. Review long descriptions, page breaks, references and totals before sharing the document yourself. Nothing is sent to a supplier by BearAtlas.

Reference suffixes are generated within this file only. Use a batch prefix from your own numbering process and check it against earlier orders. Refreshing the tool clears its working data; keep the source and exported drafts in your own records.
